Hours: 9:00 AM - 5:00 PM

Salary: $73,000- 83,000 annually

Ultimate Staffing is seeking a Marketing & Business Development Coordinator to support a prestigious professional services organization in New York City. This position works closely with East Coast, U.S., and global marketing teams to drive strategic marketing and business development initiatives. The role will primarily support business, private client, and tax practice groups while contributing to client development, event planning, digital marketing, and brand-building efforts.

Key Responsibilities

  • Assist with the development and coordination of client pitches, RFP responses, and cross-practice business development opportunities.
  • Support the production of high-quality marketing deliverables while ensuring deadlines are met.
  • Maintain pitch and proposal records, track submissions, and monitor outcomes.
  • Create, update, and maintain marketing collateral, including:
    • Fact sheets
    • Brochures
    • PowerPoint presentations
    • Customized client-facing materials
  • Coordinate, draft, and track industry award and directory submissions.
  • Promote rankings and recognitions through marketing channels.
  • Maintain attorney and professional profiles with current achievements and credentials.
  • Support the planning and execution of client events, sponsorships, receptions, and networking opportunities.
  • Manage invitation lists, registration, RSVP tracking, event materials, venue and vendor coordination, and onsite logistics.
  • Serve as a point of contact during events to ensure a positive attendee experience.
  • Coordinate activities and deliverables associated with conference sponsorships and industry events.
  • Track and report on:
    • Client targeting initiatives
    • Business development activities
    • Marketing campaigns
    • Strategic growth initiatives
  • Assist with the creation and distribution of client alerts, newsletters, and other communications.
  • Support promotional efforts across social media platforms, websites, and digital channels.
  • Draft internal communications highlighting significant wins, business development successes, and team initiatives.
  • Conduct research on prospective clients, existing clients, competitors, and industry trends.
  • Provide insights to support business development strategies, pitches, and marketing initiatives.
  • Support special marketing and business development projects as needed.

Qualifications

  • Bachelor's degree in Marketing, Business, Communications, or a related field.
  • 2-4 years of marketing and/or business development experience, preferably within:
    • Legal services
    • Financial services
    • Professional services environments
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Can use Canva and or Adobe to create marketing sheets
  • Experience with CRM systems and email marketing platforms preferred.
  • Knowledge of social media management tools in a professional setting is a plus.
  • Strong project management and organizational skills.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Self-starter with the ability to work independently and collaboratively.
  • Professional demeanor with strong interpersonal skills and sound judgment.
  • Flexible schedule to support occasional early morning or evening events when needed.
